Terms & Conditions

Effective from 8th February 2016. Last updated: 2nd January 2025, in accordance with Clause 9 below.

1. Registration & Accounts

  • Registration Requirement: Participants, or their parents/guardians if under 18, must complete online registration before attending their first class.
  • Account Management: Upon registration, an online account is created. It is the account holder’s responsibility to keep personal and emergency contact details up to date.
  • Class Bookings and Payments: Classes, workshops, and events can be booked through the online account. Payments can be made online via card or in cash upon arrival.
  • Exclusive Training Policy: Participants are expected to train exclusively with Freedom Dance Studios unless prior permission is obtained. This ensures consistent training quality and safeguarding.

2. Fees and Payments

  • Payment Timing: Fees must be paid before attending classes, either online or in cash upon arrival.
  • Automatic Charges: If a participant attends a class without prior payment, the linked card will be charged the standard pay-as-you-go fee.
  • Cancellation Policy: Pay-as-you-go participants can cancel up to two hours before a class for an automatic credit refund. Cancellations within two hours of the class will not be refunded.
  • Refunds: Payments are non-refundable for cash but can be credited to the participant’s account for future use. This applies to all classes, private sessions, workshops and events.
  • Class Cancellations: No refunds are provided if a class is cancelled or rescheduled.
  • Payment Responsibility: Freedom Dance Studios is not responsible for money left with staff or on the premises. All payments should be made through the official channels.

3. Membership Subscriptions

  • Monthly Membership (Subscription) Benefits: Monthly Membership holders enjoy unlimited classes and team training, as well as access to half-term intensive days, summer school days, and seasonal social events at a discounted price.
  • Automatic Renewal: Memberships renew automatically each month on the subscription date. Participants must notify Freedom Dance Studios via email at freedomdancetraining@yahoo.co.uk to cancel. Without this notification, the subscription will be considered late, not cancelled.
  • Re-subscription Policy: If a cancelled membership is re-activated within six months, a £120 re-subscription fee will apply. This ensures the sustainability of the discounted offer, which relies on consistent year-round subscriptions.
  • Failed Payments and Late Fees: If a subscription payment fails, a £10 late fee per day will be charged until the payment is made. Members cannot attend classes until the subscription and late fees are paid in full. If the payment is not settled within 7 days, late fees will stop accruing, and the subscription will be considered cancelled. Re-establishing the subscription within six months of the failed payment date will incur the £120 re-subscription fee.

4. Attendance and Class Policies

  • Class Registers: Attendance is recorded for safety and security purposes.
  • Class Cancellations: If a class is cancelled due to unforeseen circumstances, efforts will be made to reschedule. Participants will be notified via email or through their online account.
  • Punctuality: Participants should arrive at least ten minutes before class. Late arrivals may miss important information and disrupt the class. Those over fifteen minutes late may not be admitted to prevent injury from missing warm-ups.
  • Regular Attendance: Consistent attendance is crucial for progress. Participants preparing for competitions, shows, and events must attend regularly; failure to do so may result in withdrawal.

5. Code of Conduct

  • Behaviour Expectations: Participants should behave respectfully towards teachers, assistants, and fellow students. Aggressive or anti-social behaviour is not tolerated and may lead to withdrawal.
  • Uniform and Appearance: While not compulsory, Freedom Dance Studios uniforms are available for purchase. Participants should have their hair off their face, and jewellery should not be worn (only stud earrings are acceptable).
  • Changing Areas: Participants will only be changed in designated areas in the presence of others, never alone with one adult.
  • Mobile Phones: Phones must be switched off during classes and are prohibited in toilets or changing rooms.
  • Social Media: Participants and guardians should use social media responsibly, ensuring Freedom Dance Studios is represented positively. Concerns should be reported to the Dance School Manager.

6. Safeguarding and Health

  • Duty of Care: Freedom Dance Studios is committed to providing a safe environment for all participants, especially children and vulnerable adults.
  • Physical Contact: Teachers may use appropriate physical contact for corrections or to prevent injury. Concerns can be discussed with the Dance School Manager.
  • Health and Safety: Participants should keep warm between classes, stay hydrated, and maintain energy levels with snacks as needed.

7. Logo Use and Merchandise Policy

  • Unauthorised Use of Logo: Freedom Dance Studios does not tolerate the use of its logo or branding without prior written permission. Any unauthorised use may result in legal action.
  • Merchandise and Uniforms: All official merchandise and uniforms must be purchased directly through links provided by Freedom Dance Studios. Participants are not permitted to create or purchase replica items from unauthorised sources.

8. Data Protection

  • Confidentiality: Participant information is confidential and handled per Freedom Dance Studios’ Data Protection Policy.
  • Information Sharing: Personal information is only shared with staff and, in exceptional cases, as required by law.

9. Agreement to Terms

  • Acceptance: By creating an account and signing the waiver, participants agree to these terms and conditions.
  • Policy Updates: Freedom Dance Studios reserves the right to update these terms and conditions. Participants will be notified of significant changes.
