Changes to the Terms & Conditions

1. Freedom Studios reserves the right to change these Terms & Conditions at any time for the benefit and security of the business, staff, and participants.

 

Registration

2. To register for classes, the participant or parent/guardian (if the participant is under the age of eighteen) must complete an online registration in advance of their first class.

3. Registration will create you a free online account with Freedom Studios, containing essential and personal details declared by you. You may review and update these details at any time by logging into your account using your email address and chosen password. It is your responsibility to ensure emergency contact/medical details are kept up to date.

4. Your online account will give you access to book onto classes, workshops and other events at Freedom. It will then give you the option to pay for your fees online via ‘your basket’ by card transaction or you can pay cash upon arrival.

5. As a matter of professional respect and courtesy to our teachers, Freedom Studios does not accept participants training with other teachers or dance schools. The only exception is when an external teacher or dance school has requested their attendance and the parent has agreed with both the external teacher/dance school and Freedom that they can attend both schools. We ask that our participants wishing to attend dance classes in another school or under the instruction of another teacher, treat us with the same courtesy and discuss it with us beforehand. This is also a matter of safeguarding, as we like to ensure that our participants train under responsible, professionally trained teachers in a safe and supportive environment. Failure to do so will result in your account being withdrawn.

 

Fees, payments, deposits, and refunds

6. Fees must be paid via our online booking system or via cash upon arrival.

7. Payments must be made prior to starting class, with no exceptions.

8. If you attend a class without making prior payment, the card linked to your account will automatically be charged with the standard pay-as-you-go fee for that class.

9. If you have paid for a class via the pay-as-you-go payment method, you have up to two hours before a booked class starts to cancel in order to have the credit automatically refunded to your account credit. This is our free of charge cancellation cut-off window. However, if you cancel a booked class within the two-hour cancellation window you will still be charged for your space.

10. Any payment made to the Freedom Studios Bookings system cannot be refunded for cash, it can only be exchanged for credit on your account. This applies to all timetabled classes, private classes, workshops, events and clothing orders.

11. Refunds will not be given where a class must be cancelled or re-scheduled.

12. Freedom Studios will not be held responsible for any money left with staff members or anywhere within the studio premises. All payments must be made in accordance with Clause 5.

13. Participants can choose whether to pay-as-you-go for classes and team training or pay for a monthly membership subscription (unlimited classes and team training included).

14. When a Monthly Membership Subscription is purchased on our system, it will create an automatic monthly renewal payment. Payment will be taken from the registered bank account on the users online account on the same date that it was created each following month. If you wish to cancel a subscription, this can be done at any point but you will need to contact Freedom to do so. Refunds will not be given in any case that a subscription is requested to be cancelled, regardless of when it is created. If you wish to re-activate a cancelled subscription within 6 months after cancelling, a 50% Monthly Membership re-subscription fee will be applied. If we are unable to automatically take your subscription payment when it is due, due to an expired card on the account or insufficient funds, or for any other reason, you have up until 11:59pm on your subscription date to update your payment details and make payment via your account. Otherwise, your subscription will automatically cancel and if you will be charged the 50% re-subscription fee if you re-set up your Monthly Membership within 6 months, as stated earlier. 

 

Absence and Class Registers

15. A register for each class is maintained by Freedom Studios for the purpose of safety and security.

16. If a class is cancelled due to the sickness of the teacher, a health epidemic, or any other unforeseen event, we will attempt to re-schedule the class. This may be on a different day and time from when the class was originally scheduled. No refunds will be given in this case.

17. Regular attendance is extremely important. If participants do not attend on a regular basis, then the development of the class and individual participants can be affected.

 

Right to attend and withdrawal

18. If a class has not been paid for in accordance with Clause 6 the participant will not be admitted to any classes until fees have been paid in full.

19. Freedom Studios will withdraw an account if we suspect or witness anything in accordance with Clause 4. We also reserve the right to delete accounts if a participant has been absent for four consecutive weeks without contacting us.

20. Participants within a dance team need to give one month’s notice to withdraw from their team position, unless agreed otherwise with a Freedom staff member.

 

Permissions and consent

21. Freedom Studios are required to share information about participants with teachers and hired professionals that work in our studios. Freedom Studios are also required to share information with the local authority or setting on occasions such as shows, competitions and events.

22. We have a Closed Circuit Television (CCTV) system that is in operation 24 hours a day, 7 days per week. CCTV footage is monitored and recorded for the purposes of crime prevention, the prevention of anti-social behaviour, for the safety of our staff, participants, visitors, customers and for the protection of Freedom Studios property.

23. By signing the waiver when an account is created, participants are giving permission for an authorised Freedom Studios First Aider to give any immediate and/or necessary first aid treatment. This includes any emergency medical treatment recommended by competent medical authorities including emergency medical staff. Participants can opt out of this by notifying Freedom Studios with a written, signed, and dated letter.

24. Participants may be photographed and video recorded as part of classes, shows and events. Captured images and videos may be used on our advertising campaigns, social media platforms, website and displayed within the studio. Participants can opt out of photographic consent by notifying Freedom Studios with a written, sign and dated letter.

 

Code of Conduct

25. A Code of Conduct Information Pack is available to view at the bottom of this page. Failure to observe the policies outlined in the Code of Conduct Information Pack may result in participants being asked to leave. Freedom Studios reserves the right to refuse any participant prior to or after enrolment. No refund will be given if the Code of Conduct has been invoked.

 

Content

26. Freedom Studios reserves the right to alter advertised timetables, programmes, events and faculty members without prior notice. The information provided and any other printed or electronic notice was correct at the time of publication.

 

Data Protection

27. Freedom Studios is committed to protecting and respecting your privacy. We only use personal information if we have an appropriate reason (lawful basis) to do so and this includes sharing information outside Freedom Studios.

28. We review how long we keep personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations. We hold your personal information on our systems for only as long as is necessary for the relevant activity, or as long as is set out in any relevant contract or agreement you hold with us.

29. Please be reassured that we will not release your information to other organisations unless in exceptional cases when we are required to do so by law, for example, by court order or for the purposes of prevention of fraud or other crime. In all other instances we would only share your information with another party if you have given your explicit permission to do so.

Agreement to the Terms & Conditions

31. Customers are required to acknowledge their acceptance of the terms and conditions by agreeing to our studio policies.

32. The terms and conditions must be accepted in order to enrol and participate in classes at Freedom Studios. Applicants cannot participate until they have agreed to our studio policies. Our policies are agreed by participants when the waiver is signed upon account creation and registration.
